Duties :

Admission Committee
Objectives :

  • Faculties from the various streams (on rotational basis) should provide assistance to the students for selecting the stream and choosing the subject on the days of the admission.
  • Admission procedure to be carried out by the administrative staff.
  • Notices with regard to the date of admission, procedure of admission, etc. should be notified to the students through the college website, local newspapers and college notice board.
  • Coordinator should ensure that the students seeking admission go through proper counseling procedure before the final admission to that stream.

Objectives :

  • To prepare the semester wise timetable for the respective classes.
  • To prepare the annual academic calendar for the department.

Attendance Committee
Objectives :

  • To ensure the students maintain the required attendance as prescribed the Goa University.
  • Approval from the principal on the necessary actions to be taken in case of shortfall in attendance and specifying guidelines for duty / leave for students in case of participation in co-curricular, extra circular activities with the approval of the Principal. Hard copy to be maintained for the same.
  • Attendance sheets to be given to respective subject teachers.
  • Notice to be given each month specifying the period to enter the attendance.
  • The collated attendance sheet to be generated by 8th of everyone and should be put up on the notice board.
  • Collated sheets to be given to the class mentors by 9th – 12th of every month for approving the student attendance and recording the acknowledgment of the student.
  • Necessary action to be taken as per the approval given by the principal.
  • Maintaining hard copies of all subject attendance sheets of all classes of each month and other records.
  • Generation of the collated sheets for each month with remarks and sending a copy to the University and displaying on the notice board.

Objectives :
To ensure that the overall discipline is maintained around the college and other pertaining to the college.

Process :

  • Should ensure that the overall discipline is maintained within the campus especially during lecture and practical hours.
  • Should ensure that discipline is maintained during interclass and intercollegiate events, seminars, workshops, Annual day etc.
  • HOD’s should be responsible for maintaining discipline on the respective floors of each staffroom, lobby, classrooms, computer labs, library and adjoining rooms on the floor.

Class Mentors Committee
Objectives :
To provide guidance to students on academic, co-curricular, personal and any other related issues.
To make attempts to know each student personally of the given class.

Process :
Ensure that they meet once in a month marked by a day by the principal.
To have interactions with the parents to in order to discuss the performance and development issues related to their wards.
To conduct value education classes.
Class mentors should ensure the notice board of the classes has to be updated regularly and old notices should be filed by the class representatives.

Maintainance / Infrastructure / Purchasing Committee
Objectives:

  • To maintain cleanliness in and around the college campus.
  • To carry out necessary repairs, replacements of the infrastructural facilities available in the college.
  • To plan and execute the infrastructural facilitates required in the future.


Process 

  • Coordinator to prepare the report sheets of various infrastructure facilities for carrying out monthly inspections.
  • Monthly inspection of the respective items in infrastructure should be carried out; the member should submit the report to the coordinator of the committee.
    1.    All the monthly inspection reports should maintained by the respective member(s).
    2.    Coordinator should discuss the issues in the collated monthly inspection to the principal and necessary actions to be taken by the Principal.
    3.    A register should be maintained containing the details of the work carried out for the complaints and suggestions received (Specifying the date, the signature of the person who carried out the work and respective administrative member signature)
    4.    Planning and execution of major and minor infrastructural requirements of the coordinator with approval of the principal.
  • For any purchases:
    1.    A prior application has to be collected from the heads of departments, library, sports, canteen, administration, committees etc.
    2.    A proper procedure for the approval of minor and major purchases to be followed.
    3.    The actual purchase can be done with the approval and direction of the Principal.
    4.    All recorders of the purchase procedures to be maintained.
  • Specific Process in addition to the General Process
    1.    Electrical: Should ensure that replacing of tube lights, bulbs, changing of batteries etc. are carried timely. Compulsory supervision should be done for any minor or major work carried out by the contractors and the report of the same should be submitted to the coordinator.
    2.    Civil: Compulsory supervision should be done for any minor or major work carried out by the contractors and the report of the same should be submitted to the coordinator.
    3.    Furniture: Should carry out minor works such as nailing, fixing screws, removing of damaged glasses etc. Compulsory supervision should be done for any minor or major work carried out by the contractors and the report of the same should be submitted to the coordinator.
    4.    Water Purifiers: Should ensure that the purifier, filter, drinking glasses, water coolers pane sand its surrounding areas are to be cleaned regularly. Compulsory  supervision should be done for any minor or major work carried out by the contractors and the report of the same should be submitted to the coordinator.
  • Sports: Compulsory supervision should be done for any minor or major work carried out by the contractors and the report of the same should be submitted to the coordinator.
  • Plumbing work, water tank and motor:
    1.    Plumbing work: Compulsory supervision should be done for any minor or major work carried out by the contractors and the report of the same should be submitted to the coordinator.
    2.    Water Tank and Motor: should ensure that the water tank motor is switched on and off appropriately and not to lead any wastage of water unnecessarily. Should ensure that the tanks be cleaned regularly and maintain also the date of the cleaning and the due date for the next clean. Compulsory supervision should be done when the water tank is been cleaned by the concerned person and the report of the same should be submitted to the coordinator.
  • Computer Hardware: Maintaining stock record of computer hardware (with detailed specifications) within the campus. Compulsory supervision should be done for any minor or major work carried out by the contractors and the report of the same should be submitted to the coordinator.
  • Fire Extinguishers: Should ensure that the fire Extinguishers is refilled regularly and should be functional. Compulsory supervision should be done for any minor or major work carried out by the contractors and the report of the same should be submitted to the coordinator.
  • Xerox / Cyclostyling: Compulsory supervision should be done for any minor or major work carried out by the contractors and the report of the same should be submitted to the coordinator.

Objectives:

  • To form the student body in the college through elections.
  • To have active involvement of students in the decision making process relating to the college activities.
  • To help students to voice issues through this forum.

Process:
  • Plan of activities (with date, venue etc.) for the academic year-semester wise organizing inter-class competitions, seminars, workshops for the benefit of students. Budget for each activity planned to be prepared and submitted to the Principal for approval.
  • Holding the student council elections strictly as per the guidelines laid down by the University.
  • Holding elections for the post of UR’s strictly as per the guidelines lay down by the University.
  • Should ensure that the Process and responsibilities are explained to the students of the respective post.
  • Ensuring and maintaining discipline for various college and intercollegiate events.
  • Notices of the various elections, intercollegiate events etc. to be displayed on the notice board.

Examination Committee
Objectives :

  • To conduct the semester wise examination as per the statutes of the Goa University and ensure smooth conduct of the examination (Regular / Repeat/Supplementary).


Process :  

  • Placing order of required materials required for the semester wise examination. (June/July)
  • Ensuring availability of faculty for the conduct of the exams.
  • Ensure declaration of results within 30 days of the last paper of the respective exam.
  • Notices related to exam should be sent well in advance (1 month) with regard to setting of setting of question papers, timetables for examination, filling of University exam forms etc.
  • Preparation for the conduct of examination such as Photocopying and Cyclostyling of question papers, attendance sheets, supervision lists, supervisor’s reports, subject wise mark lists etc.
  • Proper implementation of the examination as per the given schedule.
  • Should ensure that the evaluation of answer scripts to be done in the stipulated time period given by the committee. Provision to store the answer scripts labeled subject wise in the semester.
  • Cross-verification of totaling of the marks in the answer scripts to be carried out before preparation of the collated mark-sheet.
  • Making provision in case of personal verification of answers scripts.

Happenings  and College Website Committee
Objectives:

  • To record and recognize the events / achievements of students and staff members.


Process:

  • Should ensure that the Happenings are formally published* by the 10th of each month of the academic year. (*During prayer meeting)
  • Should ensure that important event get media coverage held for the month in the local dailies / news channel. A local reporter may be invited to report such events taking place in the college.
  • Events to be emailed to the email address. 
  • The Coordinators of each stream should assign a student from their respective stream to perform the data entry of the matter submitted.
  • Screening / Approval of the matter by the respective person before being published.
  • Should ensure that appropriate weightage for important events in the college for Happenings is given.
  • Should maintain a hard copy as well as a soft copy of the Happenings. A few copies should be submitted to the library.
  • Should ensure that the Happenings are to be circulated to the management, staff, students and our stakeholders.
  • A copy of Happenings and news reports (date and newspaper to be specified) covering the college events to be displayed on the notice board.
  • Should encourage students to use and access the college website for various information related to the college.
  • Should ensure that the college website and Moodle is updated periodically.

Objectives :

  • To ensure that the events of the annual magazine are recorded.


Process :

  • Make provisions (sending notices, conducting, competitions etc.) for collecting, matter for annual magazine in the beginning of the academic year.
  • Should ensure that the Annual Magazine is formally published by the end of the April of the academic year.
  • Should encourage staff, students and stakeholders to submit articles for the Annual Magazine.
  • Should ensure that:
    1.    Departments and committees reports.
    2.    Photographs of the staff
    3.    Class-wise photographs along with the mentors.
    4.    Retrospective events held in the academic year (Should include a one line description and date of the event)
    5.    Achievements of the staff and students (Academic and Extra curricular activities)|
    6.    College of reports that appeared in the newspapers.
    7.    Articles of staff and students.
    8.    The Coordinators of each stream have a team of students for the preparation of the Annual Magazine.
    9.    Should ensure that the Annual Magazine is circulated to the management, staff, students and our stakeholders.

Environment, Health and Hygiene Committee 
Objectives :

  • To create awareness in environment, health and hygiene among the staff, students and also ensure the same is carried out in the campus, thereby leading to an eco-friendly environment.

Duties :

  • To enroll one student representing from each class.
  • Should ensures that cleanliness and hygiene is maintained in classroom, staffroom, canteen, washrooms, drinking water facilities, regular filtering of water purifier and cleaning the water tank.
  • Should ensure that articles, news reports, photographs related to environment, health and hygiene be displayed on the notice board from time to time in order to create awareness.
  • Should ensure that regular medical checkups of staff and students may be carried out once in an academic year.
  • Should ensure that eco-friendly methods of disposal of waste such recycling, vermin-culture, composting etc. is applied.
  • Should ensure involvement of students in environmental activities which include indoor gardening, plantation etc.
  • Should ensure that trash bins be placed appropriately in and around the college premises and its regular disposal be done.
  • Should ensure that the first aid box contains non-expired medicines and timely available and should be available in case of minor injuries.
  • Should maintain contacts of doctors, ambulances, blood donors etc. in case of major injuries / accidents.
  • Should ensure that non-biodegradable items are avoided in and around the college premises.
  • Should ensure proper hygiene is maintained in the canteen in terms of food and environment.

Process :

Process :

  • Maintaining a link between the college and ex-students through website, social networking, website etc.

Computer Software Maintenance Committee
Objectives :

  • To provide the latest computer software and prompt maintenance service to the various computer devices of the staff of the college.


Process :

  • Should ensure that software installed is periodically upgraded fortnightly on need basis.
  • A register should be maintained containing the details of the work carried out for the complaints and suggestions received (specifying the date, the signature of the complaint, date of the work carried out the work and coordinator / co-coordinator signature)
  • Proposals of new / upgrades of software from the staff members.
  • Should provide suggestions to the principal in case of required software for the college.
    NB: The Committee should ensure that software maintenance and upgrade is only done for computer systems / laptops owned only by the college.

Cultural Committee
Objectives :

  • To trace and develop the cultural talents of the students.

Process :

  • Should encourage students to participate for interclass and intercollegiate events.
  • Should organize events keeping in view of the competitions held at intercollegiate, state and national level.
  • Ensure that all cultural practices are held not during the lecture and practical’s hours. Practices should be held under the guidance of a teaching faculty appointed by the coordinator.
  • Screening of cultural groups needs to be done before the actual performance for that event by the committee.
  • Coordinator should ensure that the teacher in-charge should be present during the actual event that the students are participating.
  • Should ensure that clubs such as theatre club, drawing and painting club, video editing, music club, dance club etc. be created and encouraged for the overall development of the student.
  • Should ensure that notices on various competitions (interclass, intercollegiate events-state, national) and related articles to be displayed on the notice board, updated and maintained in the file.
  • Should plan and organize the Annual day of the college and have a feedback meet.
